If the publication is not set completed then the adverts will not show up in Vendor or Salespeople based lists of advertising spent.
Following on from Part 1, here is a walk-through guide on booking advertisements in OfficePartner > Advertising. You can book adverts by publication or by listing. We'll look at the by-publication method in this guide. The by-publication process is designed to streamline booking multiple adverts for a particular magazine or platform. In this example we'll book all of our weekly Property Press adverts in a single session. From the By Publication tab, click + to book an advert. Select the Insertion Date (the date on which the advert will be published) and the Paper Code you setup in Part 1. The next step is to lookup the listings that will be advertised. You can manually lookup addresses using the + button, but a faster way is to use the +Ref system to load multiple listings at once by entering their reference codes. When a valid listing reference is entered the address will show underneath so you can click + to add it. Then you can add another reference. Click OK once all the promoted listings have been loaded. By default each listing is loaded with the first size and cost of the advert's template options (normally the smallest / cheapest). Our office has reserved a full page so now we'll double click into each listing to arrange the adverts accordingly. Our newest listing UHT20261 will be upgraded to a half page advert this week, so we double click into the listing and select Half Page from the Advert Size drop down menu. The cost table is maintained via the adjacent '...' button. The above process is repeated until this week's Property Press bookings are all loaded. For UHT20246 we click Vendor to ensure that the cost of this particular advert will be invoiced to the vendor. The advert sizes have been adjusted to fill a whole page so we can click Close to continue. Once the publication for a particular date has all the advertised properties entered, it should be set as Completed. This step will generate the activity records in SalesPartner and is essential for the advertising to be included in costing reports. If the publication is not set completed then the adverts will not show up in Vendor or Salespeople based lists of advertising spent. This is an overview of the advertising costing and tracking system in OfficePartner. There are two key components:
Part 1. Advertising: Getting Started The first task is to enter the standard publications that you most frequently order. For example if you intend to load advertising for the Property Press magazine, in OfficePartner > Advertising > Maintain Publications > click Insert and enter these required fields:
Note: Advertising activity records are automatically generated in SalesPartner for scheduled adverts. The activity description is formulated by merging this expression: <Description> in <Publication> followed by the advert size. So for the example above, a scheduled advert may appear in SalesPartner activity as: You can enter numerous publications now or as you go, including online advertising templates for platforms such as Facebook, Trade Me, and YouTube.
In SalesPartner, every database contact can be assigned their own unique Link Code. Codes (in correlation with salesperson IDs) are also used to grant ownership of contacts to salespeople including the office itself. Codes facilitate the synchronization of contacts from a central server to salespeople. By default, all salespeople are allocated their own code which is their ID. Note: each salesperson has a hidden contact record which can only be revealed by adding a contact status salespeople. Salespeople are normally maintained in More > Settings > Salespeople. Fact: Every contact and salesperson code must be unique. If a contact record happened to share the same code as a salesperson, this could result in the incorrect names showing on reports such as OfficePartner top sheets. How is a contact linked to a salesperson? When a new contact code is generated, the code prefix will be that of the salesperson who they are assigned to. So for example any contacts who are assigned to salesperson ID GD, their codes will begin with GD. Important Settings If an office wishes to allocate contact codes to specific salespeople, they can enable the following settings: In SalesPartner > More > Settings > INI Settings > Contact Entry Tab
How to changing a contact code If a contact has an existing code and you wish to re-assign them to another salesperson, first change the salesperson ID and then click New Code to automatically generate a code. Bulk operations You can select multiple contacts and allocate them with new codes via Contacts > Tools > Advanced Tools > Give Code. Each contact will be granted a code that corresponds to the salesperson they are linked to.
